Drone Service Terms and Conditions

Drone Industry Specifics:

  • Southwest Drones cannot fly in rain without specialty drones, as this will destroy our equipment. If rain shots are what you need, these types of shot requests must be discussed and planned beforehand.
  • Drones have a difficult time stabilizing in winds greater than 30KM/hr., and will affect safety & smooth cinematic footage.
  • Certain locations require permission to fly via Navigation Canada, and sometimes require permits 24-48 Hours prior to flight time.
  • Drone Insurances are location & time specific which must also be purchased 24 hours ahead of time to ensure coverage.

 

Drone Services Info:

Southwest Drones has two major services:

Half Day Shoot (4 hours) & Full Day Shoot (5-8 Hours)

  • Southwest minimum service call for drone services is 4 hours. If you have an event that is only 1-3 Hours, it falls into our half day shoot for the 4 hour package
  • Half Day & Full Day packages are sold as a retainer for our time for that booked date. 
  • Locations & content to be acquired don’t reflect the booked time slot, and cannot be traded for other dates or locations unless under our “weather related reschedule policy

Security Deposit:

  • Southwest pre-charges a non-refundable security deposit prior to the booked date. This secures the insurance and/or any permits needed pre-flight. 
  • Once the drone service has been completed on the scheduled date, the security deposit will be exchanged for the remaining invoice for the service. 
  • If the drone service gets cancelled/rescheduled in 24 hours or less, Southwest Drones reserves the right to keep the non-refundable security deposit to cover our costs:

Half Day Shoot (4 Hour Min) = $100 Security Deposit 

Full Day Event (5-8 Hours) = $200 Security Deposit 

 

General Related Rescheduling Policy:

  • Southwest reserves the right to cancel the appointment within 24 hours notice, and will refund any security deposit to client
  • Client reserves the right to cancel the scheduled flight 25-48 hours ahead of time, to avoid losing a security deposit. If the appointment is cancelled/rebooked within 24 hours or less this falls under our standard “security deposit policy

 

General Weather Disclaimer:

  • Southwest Drones must adhere to the weather rules & regulations governed by Navigation Canada
  • If it is found by Southwest Drones that the weather conditions are unsafe to fly, Southwest Drones reserves the right to cancel the appointment, and rebook for another day. Severe wind, lightning or rain could be considered applicable. This will be determined by one of our licensed pilots who is familiar with the Canadian laws. 

 

Prior to Appointment – Weather Related Reschedule Policy:

  • Southwest Drones reserves the right to cancel scheduled flights anytime up until the time of the flight, with safety, rules and regulations being the deciding factor. We will however always do our best to provide 24 hours notice. 
  • Client reserves the right to cancel the scheduled flight 25-48 hours ahead of time, to avoid losing a security deposit. If the appointment is cancelled/rebooked within 24 hours or less this falls under our standard “security deposit policy”

 

During Appointment – Weather Related Policy:

Half Day Spot Shoots fall under our 4 Hour minimum requirement for drone flight services. These cannot be rebooked during the flight session if it starts raining mid flight/appointment. 

Example: We are onsite for 1-3 hours, and it starts raining prior to our 4th hour, another day cannot be traded in place of the remaining hours for our half day spot shoot service. This is due to the 4 hour minimum retainer. 

Full Day Event Package is typically considered 5-8 hours, with the same 4 hour minimum. If Southwest Drones is booked for this service, and it starts raining midway into our day, The client can convert this to a half day spot shoot, and reschedule for another half day 1 time. Please note, if a different location is decided for the rebooked appointment, mileage fees will be adjusted accordingly.

Example: We are onsite for 1-4 hours and it starts raining. We can shut it down, consider this to be a half day spot shoot (4 hours of the 8), and book another day for a 4 hour spot shoot service.

Please Note: Half of the security deposit will be lost due to needing all new permits and insurances for the second scheduled date. 

 

Disclaimer:

Clients can only convert this session into a half day spot shoot if we have been 4 hours or less. If the Southwest Drones are onsite 5-7 hours prior to weather related concern, this is considered a full day and will not be eligible for a free reschedule.

BY UTILIZING SOUTHWEST DRONES SERVICES WHETHER AS A VOLUNTEER OR ORGANIZATION OR OTHERWISE, YOU AGREE TO BE BOUND BY THE TERMS AND CONDITIONS DESCRIBED HEREIN AND ALL TERMS INCORPORATED BY SOUTHWEST DRONES. IF YOU DO NOT AGREE TO ALL OF THESE TERMS, PLEASE LET US KNOW, SO WE CAN CANCEL THE SERVICE.

SOUTHWEST DRONES RESERVES THE RIGHT TO CHANGE, MODIFY, OR ADJUST THE TERMS OF SERVICE AT ANY TIME.
